is one of Utah County’s exclusive Reception sites.  Our policies are to help ensure the success of your Event for you and your guests.  Below you will find policies for the following: Ceremony & Reception Policies

Ceremony & Reception Policies

  • FOOD AND BEVERAGE: All food and beverage must be purchased through Mellor Hidden Meadows.  Due to health regulations, no outside food and/or beverage may be brought onto our premises –  including fast food, pizza, etc.  The Wedding Cake is the only exception.
  • MENU SELECTIONS: Prices are subject to change without notice and are guaranteed upon receipt of non-refundable deposit. Menu selections are due three (3) weeks prior to your function. Changes to the menu selections three (3) days of the function are subject to an additional 10% service fee. Signed Event Contract is required at the time of booking.
  • GUEST COUNT: A minimum of two hundred (200) guests is required for reception/open house service.  The final guest count is due three (3) weeks prior to your reception.
  • NON-REFUNDABLE DEPOSIT & PAYMENT:  Space is not contractually obligated until a signed contract with a non-refundable deposit is made.   A Non-refundable deposit of $800.00 is required for Receptions, which will be shown as a credit on your final invoice.  Your final payment  is due 3 weeks prior to your event.  Any additional charges which are incurred must be paid for at the conclusion of the event. Visa & Master Card accepted.  NO DATE WILL BE HELD WITHOUT A DEPOSIT. 
  • CANCELLATIONS: Deposits will not be refunded, in the event of a cancellation or postponement.  Events cancelled within seven (7) days of the event will also be charged 50% of the estimated food and beverage, using the guaranteed number of guests.
  • SERVICES:  Utah State Restaurant sales tax will be added to all prices. 
  • GRATUITY; Gratuity is not Invoiced as a mandatory fee , but is very much appreciated by our kitchen and wait staff.  Gratuity may be paid at the 3 week finalizing meeting or the evening of your event based on service provided. 
  • OUTDOOR FUNCTIONS:  The decision to move a function indoors must be made at least two (4) hours prior to the start of a function. In the event that guests choose to move a function inside after the two (4) hour cut off, delays and/or additional charges may apply.  Mellor Hidden Meadows maintains the right to move any outdoor function indoors based upon current weather conditions and/or local forecasted weather—including wind, rain and/or snow.
  • PROPERTY DAMAGE AND LOSSES: The guest will be responsible to reimburse Mellor Hidden Meadows for damage to premises by attendees and/or other persons associated therewith, including outside contractors hired separately. Mellor Hidden Meadows shall not be held responsible for items lost, stolen, damaged or left on the premises. Guests shall not move any Mellor Hidden Meadows item from its current location or attach any items to Mellor Hidden Meadows property (including furniture, piano, walls and windows) without prior approval from the Office Manager and/or Event Manager.
  • CAR DECORATING:  You will be responsible for all clean up involved.  Car decorating is permitted. 
  • SEND OFF:  You will be responsible for all clean up involved. Confetti, rice throwing, bird seed, sparklers, etc… will be permitted in the parking lot only. 
  • FAVORS:  Favors are allowed.  They must be commercially wrapped.  No homemade items will be accepted.
  • CHILDREN:  Children must be supervised at all times.  Please do not allow children to climb in the flower beds, on the waterfall or in the ponds.   May we suggest that you select 2 to 3 responsible adults to supervise children during your Event.   
  • DANCING:  Dancing is permitted.  You may provide your own DJ or Band. 
  • GENERAL ETIQUETTE:  Please ask Office Manager for Alcohol and Smoking rules and contracts.  Alcohol fee must be paid and signed prior to bringing alcohol on our premises. 
  • EVENT HOURS: Morning and afternoon Events MUST be concluded by 2:00 pm. Receptions are from 5 pm to 10 pm.  Additional time will be charged at the rate of $100.00 per hour or fraction thereof. 

 

Event Policies

 

______ FOOD AND BEVERAGE: All food and beverage must be purchased through Mellor Hidden Meadows.  Due to health regulations, no outside

______ MENU SELECTIONS: Prices are subject to change without notice and are guaranteed upon receipt of non-refundable deposit. Menu selections

             fee. Signed Event Policy Sheet is required at the time of booking.

 

______ GUARANTEE OF ATTENDANCE: A guaranteed number of guests attending your function is required ten (10) days prior to the function date. 

             No reductions can be made after that time. You will be charged for the guarantee or the number served whichever is greater.  Final payment is due

             at the conclusion of your event.  Final payment for a Class Reunion is due (3) three weeks prior to your event.

 

______ MINIMUM GUEST POLICY: A minimum of fifty (50) guests is required for all luncheons Monday through Saturday. A minimum of fifty (50)

             guests for evening events is required Monday through Wednesday.  Thursday through Saturday evening events a minimum of 150 guests is required.  

 

______ NON-REFUNDABLE DEPOSIT: Space is not contractually obligated until a signed contract with a non-refundable deposit (which will be

             shown as a credit on your final bill) is received by Mellor Hidden Meadows.  NO DATE WILL BE HELD WITHOUT A DEPOSIT.  Check

            with Office Manager for deposit amounts for each event.

______ ROOM RENTAL FEE: The room rental fee is $150.00 for all luncheons and for evening events Monday through Wednesday.  The room rental fee

             is $250.00 for evening events Thursday through Saturday.  Please check with Office Manager for current room rental fees.

 

______ SERVICES: A 6.9% Utah State Restaurant sales tax will be added to all prices.

             pricing for children ages three to nine.

 

______ EVENT HOURS: Afternoon events are from 11:00 A.M. to 2:00 P.M.  Evening events are from 5:00 P.M. to 10:00 P.M.  For each additional

             hour the paying party will be charged $100.00.

 

______ ANY ADDITIONAL CHARGES WHICH ARE INCURRED MUST BE PAID FOR AT THE CONCLUSION OF THE EVENT.

 

 

Rental Policies

 

______ NON-REFUNDABLE DEPOSIT: Space is not contractually obligated until a signed contract with a non-refundable deposit (which will be

             shown as a credit on your final bill) is received by Mellor Hidden Meadows.  NO DATE WILL BE HELD WITHOUT A DEPOSIT.  Check

             with Office Manager for deposit amounts for each event.

 

______ CANCELLATIONS: Deposits will not be refunded, in the event of a cancellation.

 

______CLEANING DEPOSIT: A $300.00 cleaning deposit in the form of a check or money order will be returned at the end of the event if the cleaning   

             meets the standards of the Event Supervisor.  Any additional items used will be paid for at that time or deducted out of the cleaning deposit in

             which case the balance of the cleaning deposit will be refunded the next business day.  If you would like us to do the cleaning, the deposit will

             not be returned.

 

______SET UP AND CLEAN UP: The set up and clean up time must be included in the Rental hours. (It usually takes 2 to 4 hours) The doors will be

             locked until the set up time agreed upon.

 

______ SERVICES: A 6.9% Utah State Restaurant sales tax will be added to all prices

 

______ OUTDOOR FUNCTIONS:  The decision to move a function indoors in case of inclement weather will be the sole responsibility of the renter

             and must be made at least two (2) hours prior to the start of a function.  The renter is responsible for moving any and all equipment indoors in the

             event of bad weather after the start of the function.

 

______ PROPERTY DAMAGE AND LOSSES: The guest will be responsible to reimburse Mellor Hidden Meadows for damage to premises by

             attendees and/or other persons associated therewith, including outside contractors hired separately. Mellor Hidden Meadows shall not be held

             responsible for items lost, stolen, damaged or left on the premises. Guests shall not move any Mellor Hidden Meadows item from its current

             location or attach any items to Mellor Hidden Meadows property (including furniture, piano, walls and windows) without prior approval from the

             Office Manager and/or Event Manager.

*******The rental of the Garden or the Building includes 10 tables, chairs and 3 buffet tables only.

*******Linens, Sound system, Kitchen use, etc… can be rented for an additional fee.
